The Calgary Archers Club General Policies and Regulations


Notes: Each policy is preceded by the year and month (YY.MM) that it was passed.
(AGM) indicates that the policy was passed at an Annual General Meeting.
An “a” preceding a date indicates when the policy was amended.

Advertising:

86.04 1. Advertising in the Newsletter for commercial purposes shall be sold for $20.00 a full page per issue, or $12.00 for a half page per issue, or $9.00 for a quarter page per issue. The commercial outlet is to be responsible for the layout of the ad.

01.02 2. Advertising above the butts on the Field Range shall be sold at a cost of $75.00. The sign shall be supplied by the advertiser and must adhere to the specifications of the club. The sign will be maintained by the club.
Awards:

90.12 1. Awards presented at Calgary Archers Shoots must be previously approved by the Shoot Organizing Committee.

95.06 2. Annual awards presented at the General Meeting will be selected by the awards
97.02a committee. This excludes any membership awards (see Bylaws Article 2) .

97.02 3. The Awards Committee shall be a standing (permanent) committee chaired by the Past President (or his delegate). Other members include the Awards Director, the Past three (3). Outstanding member award recipients and the current President. They shall meet in December of every year and select the club’s awards for the Annual General Meeting.

Camping Area:

86.04 1. Camping shall be restricted to designated areas only.

86.04 2. Open fires shall be allowed only in designated fire pits.

86.04 3. Under no circumstances shall the camping area be used to store any type of vehicle or R.V.

86.04 4. Anyone using the camping area or the range shall leave their site in a clean and tidy condition and shall remove all garbage from the area.

Complaints and Disciplinary Committee:

95.08 1. The Disciplinary Committee shall be a standing (permanent) committee chaired by the President and assisted by the Target and Field Directors or other such persons designated
97.02a by the Board of Directors from time to time. The Disciplinary Committee shall have the power to investigate complaints by Members and to censure Member(s) by means of a written notice or short term suspension.

95.08 2. Any Member wishing to register a complaint against another Member shall do so in writing to the Disciplinary Committee and shall provide details of the incident such as time, place and name of the Member(s) involved.

95.08 3. The Disciplinary Committee will investigate the complaint and determine if the Member(s) being investigated are required to appear before the Disciplinary Committee for a hearing. If a hearing is required, the Members(s) will receive at least two weeks notice of the hearing date.

95.08 4. If a Disciplinary Committee hearing determines that further action is required, the Disciplinary Committee will recommend disciplinary action to the Board of Directors.

95.08 5. The affected Member(s) will receiver written notice of the Board’s decision by a single registered letter to the last known address of the Member(s) shown in the records of the Society. The notice may also be delivered by an Official Board member. The decision of the Board is final.

Expenses:

96.07 1. Club member expenses will be reimbursed at the discretion of the Executive. Members with extraordinary expenses should get prior approval and all receipts shall be submitted.

Keys:

85.12 1. Any member giving or lending his Club key to a non-member without the Board of Directors approval shall be automatically suspended.

90.05 2. When memberships are renewed, members must turn in their old range key(s) or be charged $5.00 for each key not turned in.

Membership:

91.02 1. The membership year shall be from January 1 to December 31 of any given calendar year.

91.02 2. Junior membership age shall be determined on January 1 of the current membership year. That membership shall be honored until the end of the membership year. When a junior reaches the age of eighteen (18) he/she shall not be entitled to voting privileges until he/she has obtained an active membership.

95.06 3. All new memberships shall be subject to a six (6) month probationary period.

94.01 4. Each membership is required to work a minimum of ten (10) hours per year on the range or Club projects. Anyone not working ten hours will be charged at a rate of $10.00 per hour not worked before getting a new membership. (AGM)
90.01 This will not apply for a new member (not a renewal membership) joining after
October 1. (AGM)

87.03 5. Any member from a family membership who turns of age, shall be eligible for an active membership exempt from probation, regardless of the number of active memberships in the Club at the time.

87.03 6. Anyone wishing to be put on the waiting list for a Calgary Archers membership shall present payment with the application form. Cheques will not be cashed until the membership is accepted.

90.06 7. Individuals who have let their membership lapse, will be reviewed just as new members are when they want to renew their membership. They will not be subject to a probationary period, but they will be responsible for any hours they were short when they left the Calgary Archers.

90.05 8. All new memberships shall be voted on by the Executive at regular monthly meetings.
97.02a

94.01 9. Members over 65 years of age or those that are legitimately sick are not required to put in work hours unless they want to. (AGM)

94.01 10. New memberships who join the club on October 1 or later in the year will have their membership carry forward into the new year. This is for new first time members only. The club will have to collect the FCA, ABA and/or ATA memberships for two (2) years. (AGM)

85.12 11. Membership cards shall be shown on request.

Planning Committee:

97.02 1. The Planning Committee shall be a standing committee chaired by the Vice-President (or his delegate). Other members include the Secretary (Organizational Effectiveness), the Treasurer (Finance), the Membership Director, the Programs Director, the Facilities Director, and the Communications Director. Other resources, such as the Calgary Parks & Recreation Representative, the club’s President or any other person as designated by the Committee, may be called upon from time to time. They shall meet at least every December in order to update the Club’s Long Term Plans.

Plaques - Animal:

87.01 1. The name of the bowhunter and the number of animals harvested (if more than one) will be put on each plaque every year.

90.05 2. Animal plaques will be put up in the clubhouse to record the success of Calgary Archers members in harvesting Alberta big game animals. Animals must have been taken on a legal Alberta license. The following animals will be recognized: Elk, Moose, White Tail Deer, Mule Deer, Bighorn Sheep, Bear and Antelope.

Plaques - Field, Hunter, FITA and 1200 Shoots:

87.04 1. Names can be put under each category only once and will have the archer’s name, class and date. Scores must be shot at an official Calgary Archers shoot.

88.01 2. Once an archer has achieved a score, their name can not be put on a lower score. Each shooter will have his/her name engraved on an individual plate.

Range Policies:

85.12 1. When entering or leaving the Range, be sure to lock the main gate behind you.

85.12 2. There will be no shooting allowed on the target, field or broadhead ranges while an organized work party is in progress.

85.12 3. Guests are not allowed to shoot on the range, unless they are out of town active members of other archery clubs, or they are competing in an open tournament approved by the Board of Directors.

85.12 4. Children, pets and other dependants shall be kept under proper control at all times. Dogs 2000.05 are allowed on the archery range as long as they remain leashed, under control and are
cleaned up after.

85.12 5. Wildlife shall not be harmed unless it is deemed by the Board of Directors to be causing
harm to the range.

85.12 6. Anyone breaking any Club rules or doing anything that may be detrimental to the welfare
of the Club shall be expelled from the membership as outlined in the Bylaws.

85.12 7. Broadhead arrows are not allowed on the target or field ranges and are to be used on the
broadhead target only. Broadheads are not to be used on tentest butts because of the damage they cause.

85.12 8. If arrows are shot through the fence, do not climb over the fence to retrieve them. Use one of the gates and go around the perimeter at a later time.

85.12 9. If arrows are shot into the frames of the target or field butts, do not dig them out. Use either a tip puller or leave the tip in the frame and remove the arrow shaft.

85.12 10. Trail bikes and other all terrain vehicles are not allowed on the range.

85.12 11. Anyone knowingly damaging Club property will be charged for the damage at a replacement cost plus 15%.

90.05 12. Arrows found on the range must be placed in the lost arrow box at the range. They remain the property of the person who lost them. On December 31st of each year, arrows will be removed from the box for people to claim just prior to the Annual General Meeting. Arrows not claimed will be auctioned off after the meeting.

91.07 13. Crossbows are not considered by the Calgary Archers to be part of archery and are not to be used on Calgary Archers property or at any Calgary Archers function.

92.03 14. Parking will not be allowed in the clubhouse area. Service vehicles only may stop at the clubhouse to unload what they need and then must be removed from that area.

95.05 15. Alcohol is not permitted anywhere on the range except at the clubhouse area.

Range Use:

86.05 1. Range use by Public groups will be considered only after the Calgary Archers Executive has received a written request from that group documenting the use. This documentation shall include the name of the group, the person responsible for the group, the dates and times of the intended usage as well as a signature of the person responsible for the group.

87.06 2. Non member juniors are not allowed on the field course unless accompanied by a coach when it is part of their program.

90.05 3. Public Groups will be limited to using the Target Range unless otherwise decided upon by the Executive.

90.05 4. The Target Director will keep a list of functions where public groups are using the Range.
96.07 This information is a necessary condition of our Lease with the City of Calgary.

Record Book:

87.01 1. It is the responsibility of the archer who makes a record to give their witnessed score card to the record bookkeeper. (AGM)

Signing Authority:

87.04 1. The President, Vice President and Treasurer have signing authority for cheques. Any two of these people can sign cheques, and any one person can get a balance from the bank.

Work Parties:

87.04 1. A "Work Party in Progress" sign is to be posted on the bridge before each organized work party.

89.04 2. Club work parties are to be held on Thursday evenings. There is to be no shooting on the ranges (Target or Field) after 6 p.m.

Safety Policies:

95.06 1. The Calgary Archers Club will protect the interests of all members and their families by actively promoting safety awareness and ensure that all members, and particularly, new members are briefed on safety issues.

95.06 2. The Calgary Archers Club will ensure that one member of the executive shall assume leadership for safety issues on a continuous basis.

95.06 3. The Calgary Archers Club will protect the interests of members and their families by disciplining those individuals whom repeatedly breach safety guidelines, up to and including, dismissal from the club.

97.02 4. The Safety Committee shall be a standing committee chaired by the Safety Director. Committee members may include the Field Director, the Target Director and the President. The committee shall conduct a spring and fall safety assessment and report their findings to the Executive for permanent corrective action.

Tournaments:

97.12 1. At all Calgary Archers tournaments, where awards are presented according to score, double scoring will apply.

97.12 2. At all Calgary Archers 3-D tournaments no obstructions will be in the way to the kill area for any group of archers.

97.12 3. At all Calgary Archers 3-D tournaments, whether the start is shotgun or all groups starting on #1 targets, shooters must take their position at the available target as soon as possible.
